You’ll be central to ensuring critical information is managed efficiently and supports safe, compliant operations.</p><p>About the Role:</p><p>You will be responsible for coordinating and maintaining the company’s technical library and EHS documentation, ensuring all data and records are complete, current, and properly stored in internal systems. Working closely with operational and EHS stakeholders, you will support training, documentation, and hazard reporting processes. In parallel, you will review existing administrative workflows and introduce automation and digital solutions to streamline documentation management.</p><p>Key Responsibilities:</p><ul> <li>Maintain and update maintenance-related technical data within company systems and databases.</li><li>Upload and organise technical publications and documentation received from OEMs and customers.</li><li>Perform regular checks to ensure the technical publications database and documentation are current and complete.</li><li>Monitor and renew required documentation subscriptions and manage online access to main OEM systems.</li><li>Organise, schedule, and track internal and external EHS trainings, maintaining accurate training records.</li><li>Manage and publish EHS PR documents and EHS Work Instructions in the relevant internal platforms.</li><li>Maintain and update Safety Data Sheets (SDS) for chemical products in the company’s online database.</li><li>Support EHS investigations and hazard report resolution by providing documentation and record-keeping support.</li><li>Review existing administrative processes related to technical and EHS documentation, identify opportunities for automation and innovation, and implement agreed improvements.</li></ul> <p>Key Requirements:</p><ul> <li>Proven experience in administrative coordination, documentation management, or a similar support role.</li><li>Hands-on experience working with technical documentation, libraries, or data management systems.</li><li>Strong organisational skills with a high level of accuracy and attention to detail.</li><li>Ability to manage multiple documentation streams and deadlines in a structured manner.</li><li>Experience supporting EHS or compliance-related processes, such as training records or SDS management.</li><li>Comfortable working with online platforms and digital tools for documentation and data storage.</li><li>Proactive mindset with the ability to identify inefficiencies and propose practical improvements.</li><li>Strong communication skills to liaise effectively with internal stakeholders and external partners.</li></ul> <p>Desirable Skills:</p><ul> <li>Experience with SharePoint or similar document management and collaboration platforms.</li><li>Familiarity with automation tools (e.g. Power Automate or equivalent) for streamlining administrative workflows.</li><li>Exposure to AI-based tools for information management or document processing.</li><li>Previous experience in an EHS support role within an industrial, technical, or manufacturing environment.</li><li>Background working with OEM online systems or technical publications portals.</li><li>Experience in process mapping and continuous improvement initiatives.</li></ul> <p>Qualifications:</p><ul> <li>Completed vocational training or diploma in administration, documentation management, EHS support, or a related field.</li><li>Further training or certification in EHS, safety management, or compliance (preferred).</li><li>Training or certification in digital tools, SharePoint administration, or process automation (preferred).</li><li>Strong working proficiency in relevant office software and online documentation systems.</li></ul> <p>If you are motivated by combining solid administrative work with meaningful process improvements and enjoy working with technical and EHS documentation, this temporary role in Basel offers a valuable opportunity to make a tangible impact.
